Job Purpose:

 

The Specialist - Fleet Maintenance Scheduling is responsible for managing the Computerized Maintenance Management System (CMMS) to ensure efficient scheduling, tracking, and documentation of all fleet maintenance activities. This role involves creating and managing work orders, handling documentation, and overseeing inventory management. The specialist will also ensure that all inspections are recorded digitally and work closely with the yard team, technicians, and other stakeholders to maintain optimal fleet performance. 

 

Job Responsibilities:

 

  • Operate and maintain the CMMS system, ensuring all maintenance activities are logged accurately.  

  • Create and assign work orders for preventive and corrective maintenance. Track the progress of all maintenance tasks and ensure timely completion. Generate reports and insights from CMMS to support decision-making. 

  • Maintain and update all maintenance records, inspection reports, and service documents digitally. Ensure all fleet maintenance activities comply with company policies and safety regulations.  

  • Work closely with auditors to provide necessary documentation and records. 

  • Monitor and manage the inventory of spare parts, tools, and maintenance supplies. Coordinate with suppliers and procurement teams to reorder stock as needed. 

  • Ensure all parts used in maintenance activities are properly documented in CMMS. 

  • Keep a digital record of all fleet inspections, ensuring compliance with maintenance schedules. Work closely with the yard team to ensure that vehicles meet safety and operational standards.  

  • Conduct regular audits of fleet maintenance records and provide reports to management. 

  • Act as a bridge between the yard team, technicians, and management to ensure smooth workflow.  

  • Provide updates on maintenance schedules, pending work orders, and vehicle readiness. Assist in planning and scheduling fleet availability to minimize downtime.

  • Follow all relevant functional policies, processes, standard operating procedures, and instructions to ensure that work is carried out in a controlled and consistent manner.  

  • Assist in the preparation of accurate and timely functional MIS statements and reports to meet corporate and functional requirements, policies, and standards.

  • Apply safety, quality and environmental management policies, procedures, and controls to ensure employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude. 

 

Continuous Improvement    

  • Contribute to the identification of opportunities for continuous improvement of department’s systems, processes and practices considering ‘international best practice’, improvement of business processes, cost reduction and productivity improvement.

 

Qualification and Experience   

 

  • Diploma or bachelor’s degree in automotive engineering, Mechanical Engineering, Logistics, or a related field. 

  • Certifications (Preferred): CMMS training, fleet maintenance certification, or logistics management courses. 

  •  Minimum 3-5 years of experience in fleet maintenance, scheduling, or CMMS operations. 

 

Skills:

 

  • Proficiency in CMMS software and fleet management systems. 

  • Strong knowledge of preventive maintenance schedules and automotive repair documentation. 

  • Experience in inventory management and procurement processes. 

  • Strong organizational and time management skills. 

  • Excellent communication and coordination abilities. 

  • Detail-oriented with a focus on accuracy and compliance.
